Challenges in Modern Meetings

Running successful hybrid meetings demands meeting leadership and facilitation expertise. Moderators/facilitators or meeting owners must facilitate the conversation so everyone feels included, engaged, and focused.

According to HR Digest, professionals lose 31 hours of productivity in meetings every month. This translates to an estimated cost of $37 billion a year in the US alone.

Researchers at Harvard Business School surveyed 182 senior managers in various industries:

  • 65% said meetings keep them from completing their work
  • 71% said meetings are unproductive and inefficient
  • 64% said meetings come at the expense of deep thinking

Most people attend meetings without knowing the agenda or whether they are needed. Some are frequently pulled into meetings at the last minute or have their calendars adjusted based on availability.

Application Technology

The application takes natural language and converts it into artificial language. This is called Natural Language Understanding (NLU). Speech recognition systems are based on Hidden Markov Models (HMM). HMM do this by listening and breaking it down into small units (usually 10–20 milliseconds), then comparing it to a pre-recorded speech from our imported libraries.

If participants are from more than one geographic area, time zone differences are often ignored. Since multinational organizations have clients and employees across the globe, it is difficult to match everybody’s time zone and schedules. This leads to difficulty in organizing meetings.

AI-NLU description

How it works

Translating a computer’s artificial language into text is easier. It just outputs its artificial languages to text and reads off the text. This is called Natural Language Generation (NLG). Using NLU, the application reads through all important keywords and the ML Deep learning module will separate tasks and notes. It continuously monitors notes and marks the agenda complete for the remaining, the NLG module will remind/read the remaining agenda to the meeting organizer. Task management system will run an unsupervised machine learning model on the emails to classify the emails with tasks that come from the NLG Calo model. It will classify them into urgent and ordinary tasks and the system with a deadline and send reminders.

Natural language processing (NLP) is a form of artificial intelligence that focuses on analyzing languages and providing a suggested output. The application has capabilities to integrate task management system Application Programming Interface (also referred to as “API”), calendar API, and video conference API. The task management API tracks emails to schedule tasks and send reminders. The above features are not offered in any other digital assistant tools
